Lost an Important Email? Here’s How to Get It Back!
We’ve all been there—you accidentally delete an important email, only to realize you still need it. Luckily, Outlook and Gmail store deleted emails for a limited time, allowing you to recover them before they’re permanently erased.
In this guide, you’ll learn how to:

Recover Deleted Emails in Outlook (Windows & Mac)
Step 1: Check the “Deleted Items” or “Trash” Folder
1. Open Outlook.
2. In the left panel, click Deleted Items (or Trash for some accounts).
3. Locate the email you want to recover.
4. Right-click it and select Move > Inbox (or another folder).
💡 Tip: Outlook keeps deleted emails in the Deleted Items folder for 30 days before permanently erasing them.
Step 2: Recover Emails Deleted from the “Deleted Items” Folder
If you emptied your Deleted Items folder, you may still be able to restore emails from the server:
1. Open Outlook and go to Deleted Items.
2. Click Recover Deleted Items from Server (available for Microsoft 365 & Exchange accounts).
3. Select the emails you want to recover.
4. Click Restore Selected Items, then OK.
✔ Recovered emails will be moved back to the Deleted Items folder.

Step 3: Check Outlook’s Archive Folder
If you can’t find the deleted email, it may have been automatically archived.
1. In the Outlook sidebar, click Archive.
2. Browse for the missing email.
3. Right-click and move it back to the Inbox.
Step 4: Restore from an Outlook Backup (PST File)
If your email is permanently deleted, you can restore it from a PST backup file (if one exists).
1. Click File > Open & Export > Import/Export.
2. Select Import from another program or file > Outlook Data File (.pst).
3. Browse for the backup PST file.
4. Click Finish and check your restored emails.

Recover Deleted Emails in Gmail
Step 1: Check the “Trash” Folder
1. Open Gmail.
2. In the left sidebar, click Trash (you may need to click “More” to find it).

4. Right-click it and select Move to Inbox.

Step 2: Recover Permanently Deleted Emails from Google’s Backup
If your email was deleted from Trash, you can request Google Support to recover it (within 25 days of deletion):
1. Go to Google’s Support Request Page.
2. Fill in the required details, including the approximate date of deletion.
3. Click Submit and wait for Google’s response.
✔ Google may be able to restore permanently deleted emails if they haven’t been overwritten.

Step 3: Check the “All Mail” Folder
Sometimes, emails are accidentally archived instead of deleted.
1. Open Gmail.
2. Click All Mail in the left panel.
3. Use the search bar to find your missing email.
4. If found, move it back to the Inbox.
How to Prevent Future Email Loss
✅ Enable Email Backups:
• In Outlook, create PST backups regularly.
• In Gmail, use Google Takeout to download email backups.
✅ Use “Undo Send” in Gmail:
• Go to Settings > General > Undo Send.
• Increase the cancellation period to 30 seconds for extra time to undo deletions.
✅ Enable Archiving Instead of Deleting Emails:
• In Gmail, click “Archive” instead of “Delete” to keep emails safe.
• In Outlook, set up an Auto-Archive policy.
